Shared calendars can be accessed using both Outlook (on a PC) and Outlook Web Access (OWA). The sections below will provide a quick overview for accomplishing this task in both environments.

Outlook

  1. Open Outlook on your local PC.
  2. Enter your email address and password if prompted to login.
  3. Click Calendar in the left navigation.
  4. Click Open a Shared Calendar… in the left navigation.
  5. Click the Name… button.
  6. Click to select/highlight the name of the user you would like to view and click OK.
  7. Click OK to open the calendar.
  8. If the user has granted you permission to view their calendar, it will display. If you do not have permission to view the calendar, an error message will display.

Outlook Web Access

If you have appropriate privileges to view a user’s calendar, you can access it from within OWA by simply adding username/calendar to the end of the URL in the address bar of your web browser. The username is the user’s alias, which can be found by reviewing the user’s mailbox configuration in the control panel, https://control.apparatus.net.

  1. Open a web browser and go to https://exchange.apparatus.net.
  2. Enter your email address and password, then click Log on.
  3. Go to the web browser’s location bar and add username/calendar to the end of the current URL (i.e., https://exchange.apparatus.net/exchange/mjj8099-09/calendar).
  4. If the user has granted you permission to view their calendar, it will display. If you do not have permission to view the calendar, an error message will display.
